Personal data we collect
We collect only what we need to answer your enquiry and do the work you ask us to do. Depending on the service, this may include:
- Contact details: your name, phone number, email address, and business name, given through the contact form, portal registration, email, phone, or WhatsApp.
- Identity and tax details: PAN, Aadhaar, GSTIN, TAN, DIN, date of birth, and address. Where a filing does not need your full Aadhaar number, please share a masked copy.
- Financial documents: bank statements, Form 16, salary slips, invoices, sales and purchase records, GST returns, capital gains statements, and financial statements.
- Business documents: incorporation and registration papers, partnership deeds, licences, and notices received from authorities.
- Portal account details: your sign-in email, one-time sign-in codes, and records of account activity needed to keep the account secure.
- Billing records: invoices we issue and payments we receive. We do not collect card numbers or net-banking passwords on this website.
- Technical data: IP address, browser type, and pages visited, recorded in server logs for security and to keep the website working.
Why we use your personal data
We use your personal data only for the purposes for which you shared it, namely:
- To reply to your enquiry and give you a quote.
- To carry out the services you engage us for, such as preparing and filing returns, registrations, applications, and replies to notices.
- To keep you informed about status, due dates, and documents still needed.
- To issue invoices and record payments.
- To keep the client portal secure, prevent misuse, and fix problems.
- To meet our legal obligations, including record keeping and responding to lawful requests from authorities.
Consent and lawful use
We process your personal data on the basis of your consent, which you give when you submit the contact form, register on the client portal, or send us documents for a service. We also process it for the legitimate uses the Act allows, such as complying with a law, a court order, or a request from a government authority.
You may withdraw your consent at any time by writing to info@fintaxport.com. Withdrawal does not affect processing already done. If you withdraw consent, we may not be able to continue a service that depends on that data, and filings already made with an authority cannot be withdrawn by us.
We do not sell your personal data, and we do not use it for unrelated marketing.
Who we share it with
We share personal data only where it is needed for the service you asked for, or where the law requires it:
- Government portals and authorities, such as the Income Tax Department, the GST Network, the Ministry of Corporate Affairs, TRACES, EPFO, ESIC, FSSAI, and the Trade Marks Registry, only as needed to complete your filing or application.
- Service providers who help us run our practice, such as website hosting, email, and secure storage, who may use the data only on our instructions and must keep it confidential.
- Other professionals, such as company secretaries, advocates, or auditors, who work with us on your matter, with your knowledge.
- Courts, regulators, and law-enforcement agencies, where the law requires us to share it.
How long we keep it
We keep enquiry details only for as long as needed to respond and follow up, and delete them when they are no longer needed.
For clients, we keep documents and working papers for the duration of the engagement, and afterwards for as long as tax, GST, company, and other laws require records to be kept, or as needed to deal with assessments, notices, or disputes about the period concerned. After that, we delete the data or remove anything that identifies you.
How we protect it
We take reasonable security safeguards to protect your personal data, including:
- Documents in the client portal can be seen only by you and the members of our team who work on your matter.
- Portal sign-in is protected by a password and one-time codes, and the website uses encrypted (HTTPS) connections.
- Our team members are bound to keep client information confidential.
- We keep backups so your records are not lost.
If there is a data breach
If a personal data breach occurs, we will inform the affected persons and the Data Protection Board of India as required by the Act and the rules made under it.
No system is completely secure. Please keep your password and sign-in codes private, and tell us at once if you think your account has been misused.
